What Are Infotypes Used For?

🗂️ What Is an Infotype?

An infotype is a standard data structure in which employee data is stored. Every distinct group of data, such as personal information, family status, education history and bank details, is kept in its own table under its own infotype and tracked historically. Each infotype is represented by a four-digit numeric code.

Infotypes make it possible to query an employee's status as of a specific date, retroactively. For example, an employee's address from two years ago, or their job title at that time, can be viewed through the relevant infotype based on the record date. Personal and sensitive infotypes are stored encrypted in the system.

📋 Most Commonly Used Infotypes

0000 - Actions

Historically records the date and reason for every personnel action taken on an employee, such as hiring, promotion, transfer, organizational change and leaving. Whenever a defined action is triggered in the system, a new record is automatically added to this infotype, making the employee's entire personnel history traceable step by step.

0001 - Organizational Assignment

Holds the assignment data that shows an employee's place within the organizational structure, such as company code, personnel area/subarea, department, position and job. Which department or position an employee was assigned to on a given date can be queried retroactively through this infotype, and many processes such as reporting and authorization rely on this data.

0002 - Personal Data

Contains the employee's basic personal information that identifies them, such as full name, date and place of birth, gender and nationality. Referenced by almost every screen and report in the system, this infotype is the core data structure where an employee's personal attributes are stored encrypted and historically.

0003 - Payroll Status

Holds the status information that determines whether the employee is included in payroll calculations, along with lock records and dates for the last payroll period that was run. Every time the payroll engine runs, it checks this infotype to decide which employees need to be recalculated.

0006 - Addresses

Stores different address types separately, such as home address, work address, emergency address and mailing address. Country, city and postal code information is kept for each address type; this data is used in official correspondence, shipping/delivery processes and emergency communication.

0007 - Planned Working Time

Holds the work schedule, shift plan and planned weekly/daily working hours the employee is assigned to. Time evaluation, overtime assessments and attendance/absence tracking are largely based on the planned working pattern defined in this infotype.

0008 - Basic Pay

Contains the employee's base salary, pay grade and the fixed payment components paid regularly. As the starting point of payroll calculation, this infotype is updated historically whenever there is a salary increase or change, and past pay information always remains accessible.

0009 - Bank Details

Holds the bank account information, IBAN number and payment method used for the employee's salary payment. Payroll payments are made to the accounts defined in this infotype, and multiple accounts can be defined so that different payment types are routed to different accounts.

0014 - Recurring Payments and Deductions

Records the information for additional payment and deduction items that recur at regular intervals (monthly, quarterly, yearly, etc.). Items such as meal allowance, transportation allowance or a recurring deduction are defined through this infotype and are automatically included in the calculation every payroll period.

0015 - Additional Payments

Holds the information for one-time payments made to the employee, such as bonuses, incentives or premiums. Unlike recurring payments, this infotype is used solely to record payments that are specific to a single payroll period and do not repeat.

0016 - Contract Elements

Contains the employee's contract type (fixed-term/indefinite, full-time/part-time, etc.), the contract start and end dates, and contract-specific conditions. Contract renewal and expiration processes are tracked through the dates held in this infotype.

0021 - Family Members/Dependents

Holds information such as identity, date of birth and relationship for the employee's spouse, children and other family members. This data is used as a reference for payroll deductions and payments such as family or child allowances, and for social security notifications.

0022 - Education

Records the schools the employee graduated from, their field of study, education level and graduation dates. This history serves as an important reference in position fit assessments, promotion eligibility and competency analyses.

0023 - Other/Previous Employers

Holds information about the employers the employee worked for before joining the company, including tenure at those workplaces and reasons for leaving. This past work experience data is used in processes such as seniority calculations and reference checks.

0024 - Qualifications

Contains the employee's professional competencies, certifications, language skills and other qualifications. This information is used as a key reference in position-competency matching, training needs analysis and career planning processes.

0040 - Objects

Holds information about when company assets such as laptops, phones, vehicles and access cards were issued to the employee. During the leaving process, the assets that need to be returned are checked through this infotype so that returns can be tracked.

0041 - Dates

The infotype in which important and recurring dates related to the employee are recorded, such as birthdays, wedding anniversaries and retirement dates. Automated reminders and workflows can be triggered based on these dates so that related processes are managed on time.

0081 - Military Service

Holds the employee's military service status type (completed, exempt, deferred, etc.) and related historical dates. This infotype is used during hiring processes and for tracking legal obligations to verify the military service status of male employees.

0105 - Communication

Holds the employee's information for different communication channels, such as mobile phone, work phone, personal email and corporate email. Notifications, approvals and announcements sent from the system reach the employee through the communication channels defined in this infotype.

0500 - Managers

Holds which manager the employee reports to, whether the manager assignment was made automatically or manually, and any notes related to the assignment. Approval workflows, the organizational chart and the reporting line are determined based on the manager assignment held in this infotype.

0501 - Documents

Records the document types, file IDs and file names for uploaded employee documents such as contracts, ID copies and diplomas. This infotype allows the documents belonging to an employee's personnel file to be digitally classified and made accessible.

0502 - References

0769 - SSG Information

Holds information used in tax and social security calculations, such as the employee's social security group, social security registration number, bank code, law number, tax ID number, disability status and number of children. Social security premium and income tax deductions in payroll calculation are based on the data held in this infotype.

0770 - Identity Information

Contains the employee's national ID number, ID document serial number and other official identity document information, stored encrypted. This data is required in legal processes such as social security notifications, tax procedures and official document preparation.

2001 - Absences

Holds the records for days the employee did not come to work, whether due to sick leave, unauthorized absence or another reason. This data directly affects time evaluation, payroll deductions and the updating of absence quotas.

2002 - Attendances

Holds the attendance records for the days and hours the employee actually worked, together with clock-in/clock-out information. Coming from time-attendance systems or manual entries, this data forms the base input for time evaluation and overtime calculations.

2003 - Substitutions

Records the start/end dates and the substituted position for periods during which an employee temporarily takes on another position in addition to their own role. This information is used in substitution pay calculations and delegation-of-authority processes.

2006 - Absence Quotas

Holds the quota balances and usage history for absence types entitled to the employee, such as annual leave and sick leave. As leave requests are approved, the related quota balance is automatically updated through this infotype.

2007 - Attendance Quotas

Contains the balances and usage history for attendance quotas the employee can use, such as overtime entitlement. This data is used to check whether defined upper limits are exceeded and in related approval processes.

2010 - Remuneration Statements

Holds the wage type items, amounts and unit counts to be applied to the employee as a result of time evaluation. This infotype serves as an intermediate remuneration statement in which time management results are recorded before being transferred to payroll.

2011 - Time Events

Holds the raw records of the employee's clock-in/clock-out events made with a turnstile or time-attendance card, together with date and time information. This data forms the source for the attendance/absence infotypes and time evaluation calculations.

2020 - Time Eval. Runs

Records the run ID and the scheme used for the time evaluation runs executed for the employee. This infotype is used to track which time evaluation run was performed for which employee and when.
